This Privacy Policy describes how BedBox Boys Hostel ("we", "us", "our") collects, uses and safeguards information you share while enrolling as a resident or using our online fee-payment portal.
1. Information we collect
- Identity: full name, date of admission year, live photograph, Aadhar number and college ID number.
- Contact: mobile number, parent/guardian mobile number and email address.
- Accommodation: assigned room, bed number, plan (monthly / yearly) and stay history.
- Payments: amount, payment method (UPI, bank transfer, cash, card via Razorpay), UTR / transaction ID and receipt number. We do not store card numbers, CVV or UPI PINs — these are handled directly by Razorpay.
2. How we use your information
- To allocate rooms, generate fee receipts and maintain occupancy records.
- To send transactional email receipts and payment reminders.
- To verify UPI / bank-transfer payments and comply with legal or tax obligations.
3. Sharing
We do not sell or rent personal data. Data is shared only with (a) Razorpay for processing card payments, (b) our email delivery provider for receipts, and (c) authorities when required by law.
4. Storage & security
Data is stored on secure managed cloud infrastructure with encryption in transit (TLS) and access-controlled databases. Photographs and Aadhar copies are held in a private object-storage bucket accessible only to authorised hostel staff.
5. Retention
Resident records are retained for the duration of stay and up to 3 years after departure for accounting and audit purposes.
